Senior Administrative Assistant
COSTI REQUIRES A CANADA ONTARIO JOBS GRANT (COJG) SENIOR ADMINISTRATIVE ASSISTANT FOR ITS EMPLOYMENT SERVICES IN THE GREATER TORONTO AREA
Duties:
Responds to inquiries and help employers complete the Canada Ontario Jobs application and information is complete
Enters application related program data into Employment Ontario Information System-Case Management System(EOIS-CaMS)
Ensures that COJG training agreements are approved and signed by managers prior to the start date of training
Contacts employer and verifies employer and individual eligibility for Canada Ontario Job Grant
Sends correspondence approved by Manager detailing approval or denial of application
Edits and enters amendments to the Agreement; training cost and duration if needed in consultation with Managers
Schedules staff or Manager for on-site monitoring of the training provider site visits
Tracks and monitors government funding contributions to training according to guidelines on excel spreadsheet
Verifies employer payments to the training provider before forwarding employer claims for payments
Research training providers to ensure provider is eligible under COJG guidelines
Conducts employer and participant calls according to agreement guidelines
Ensures accurate record keeping and all supporting documentations for COJG agreements are maintained and available for auditing purpose.
Develops tracking systems to maintain and update Training Contribution funds summary for 5 locations
Keeps up to date with COJG changes to program guidelines and saves new forms on Intranet
Notifies managers in summary form of any information/changes posted on the Employment Ontario Partners’ Gateway (EOPG) by MAESD regarding the Canada Ontario Job Grant program
Works collectively and case conferences with the managers across all of COSTI’s 5 Employment Services locations to meet contractual targets and deadlines

Qualifications:
Post-Secondary Education diploma in Business Administration preference will be given to those with strong experience working with Employment Ontario training related programs including Canada Ontario Jobs Grant
Minimum nine (9) months experience providing senior level business administrative services.
Must have advanced administrative and data entry skills including advanced Excel skills
Experience entering data into EOIS – CaMs and budget summary programs
Self-motivated with experience working with multiple priorities
Excellent interpersonal skills and communication skills (oral & written)
Extremely detailed and organizational skills
Experienced in file management both electronic and paper-based
Knowledgeable of current computer packages: Word, Excel, Email, Internet.
Travel within the GTA including York and Peel regions is essential so access to a car is required.
