Clerical Assistant



  • Greets visitors/clients and directs them to appropriate service/person.
  • Operates the main phone switchboard; screens and directs calls to appropriate person/department.
  • Provides callers/visitors with information on organization services and programs.
  • Receives and forwards telephone inquiries to appropriate person and provides general information to clients and the public.
  • Schedules appointments for clients.
  • Enters client initial contact information and service forms into Case Management database.
  • Scans client documents into database.
  • Maintains accuracy of the client’s hard copy and electronic file.
  • Sorts and routes incoming mail, faxes and other materials; Prepares interoffice courier to other Centre’s.
  • Maintains Centre program materials and information, including Guest and Staff Sign-in sheets, Repair & Maintenance Logs etc.
  • Provides administrative and secretarial support for the Centre.
  • Prepares minutes and agenda of monthly all staff meeting.
  • Types and proofreads correspondence, reports, work orders, statements and forms.
  • Perform other duties as required.
  • Qualifications:

  • High school graduation or equivalent and 12 months office experience.
  • Working knowledge of Windows software e.g. Microsoft Word, Internet and Email.
  • Typing skills: Minimum 40 words per minute.
  • Knowledge of office procedures.
  • Verbal and written fluency in English is required; the ability to speak another language would be an asset.
  • Sensitive to the needs of newcomers.
  • Must have strong customer service orientation.

    Starting Salary Range:

    $35,685 to $40,237 per annum + benefits

    This is a full time Union position scheduled to work 35 hours per week**

    **Hours of work shall be scheduled in accordance with Article 12.01and shall consist of five (5) seven (7) hour days, Monday to Friday.
