A CLERICAL ASSISTANT FOR ITS EMPLOYMENT SERVICES IN BRAMPTON
This is a full-time union position scheduled to work 35 hours/week.
The incumbent is required to work On-site Monday to Friday from 8:30 am to 4:30 pm and or 9 am to 5pm
INTERNAL ONLY
Duties:
- Provides clerical support to the employment services manager and team.
- Schedules and confirms clients for one-on-one appointments in FFAI (Future-Fit AI) system for employment programs and conducts reminder calls
- Participates (Supports) in the intake and registration of clients to the appropriate programs.
- Responsible for registering clients online and in-person and entering data of clients’ personal information in CAMs, FFAI and CIS database systems
- Liaises with employment program staff to collect and compile data and ensures that client information is properly entered into CAMs, FFAI and CIS
- Prepares, prints and photocopies bi-weekly and monthly data and statistical service delivery reports and/or documents related to clients for the Employment Consultants and Management
- Greets visitors at the reception, handles client inquiries by telephone and email regarding COSTI’s programs and services. Ensuring clients are appropriately pre-screened for the Employment Integrated Services, ensuring eligibility criteria are met prior to setting appointments for staff
- Responds to emails and shares emails accordingly with other departments and programs in the service site and/or organization.
- Supports clients seeking and requiring support from the Resource Centre area by directing them and assisting them with the CIS registration process, Online resources and access to Online tools supported by the employment division
- Displays and replenishes flyers and brochures within the Centre for prospective clients, sends flyer and brochures to COSTI locations and other community agencies
- Assist the administrative staff in maintaining the inventory of supplies and stationery
- Provides support to administrative staff in photocopying and scanning invoices, receipts as required, claims and other documents.
- Maintains office equipment such as copier, shredder, printers, etc. and ensures the same to be in good working condition.
- Performs other clerical duties as required.

Qualifications:
- High school graduation or equivalent and 12 months office experience.
- Thorough knowledge of the Integrated Employment Service (IES) eligibility and criteria is a must
- Knowledge of CIS, CAMs and FFAI database systems is a must
- Working knowledge of Windows software e.g. Microsoft Word, Internet and Email and software including virtual meeting tools such as MS Teams, Zoom, WebEX
- Experience in creating service plans and data entry.
- Good written and oral communication skills.
- Good administrative skills, typing speed of 40 words per minute is essential.
- Knowledge of office procedures, capable of meeting timelines.
- Demonstrated ability to work in a team-oriented environment.
- Excellent customer service skills and Interpersonal Skills.
- Verbal and written fluency in English is required; the ability to speak another language would be an asset.
- Sensitive to the needs of newcomers.
- Required to provide a valid Vulnerable Sector Screening (VSS) Police check. The VSS must have been completed within the past 6 months.
- Working onsite 5 days per week
